Privacy notice for membership requests

This notice explains how Solid Pancake uses personal information you send through the membership request form on this website, and how to contact us about that information.

Last updated 23 September 2026. Internal records store this notice as version sales-privacy-2026-09.

Who we are

This website is operated by Solid Pancake as a UK sole trader. We provide EPC operations software for UK assessors. We have not published a full legal name, registered address or ICO registration number on this notice.

How to contact us

Use the privacy contact form on this page to ask about this notice, a membership request you have already sent, or your information rights. That form is not a request to join.

You can also email us at solidpancakeuk@gmail.com.

If we have already emailed you about a membership request, you can reply to that email.

What we collect

When you request to join, we collect the name, email address, business name and plan interest you enter. For Solo and Team we also collect monthly billing interest. For Business we collect your team size and requirements. Telephone is optional. The message is optional for Solo and Team. We also record that you have read this notice, and whether you asked for occasional product updates.

We store a hashed copy of the request’s internet address and browser identifier to help prevent automated abuse. If your browser sent a referring website, we keep only that website’s host name, not the full address.

You do not have to send a request. If you do not give the required details, we cannot review it.

How we use it and why

We use these details to review the request and to contact you about it. We send an acknowledgement to the email address you give, and we notify the people who review membership requests. Sending the form stores a membership request. It does not create an account, organisation or subscription, and it does not take payment.

That use is necessary so we can take steps at your request before any membership agreement. Confirming you have read this notice records that you saw it. It is not itself a lawful basis for using your details.

Product updates are sent only if you tick the optional marketing box. That box is off unless you choose it. Those updates rely on your consent. You can withdraw that consent at any time using the contact details on this page. Withdrawal does not affect use that already happened while consent was in place.

Who receives it

The people who operate Solid Pancake review membership requests and privacy messages. We use service providers that host this website, store request records and send email. Those providers process the information on our instructions. We have not published a named list of the current production providers.

These pages also load fonts from Bunny Fonts so the site can display correctly.

International transfers

We have not published a confirmed statement that membership-request records are stored only in the UK, or a list of countries where our providers process that information. If a confirmed transfer statement is recorded, this notice will be updated.

How long we keep it

We keep a membership request while we need it to review the request, contact you, reduce repeat automated abuse, and keep a record of what was asked and how we responded. We have not published a fixed retention period for these requests.

Your rights

You can ask us for a copy of the personal information we hold about you, ask us to correct it, ask us to delete it, or ask us to restrict how we use it. Where the law allows, you can also ask us to give you the information you provided in a portable form.

We do not use automated decision-making to decide membership requests.

Objecting to product updates

You can object to optional product updates, or withdraw that consent, at any time by using the privacy contact form on this page or the email address above if one is shown.

Complaints

If you are unhappy with how we have used your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority.

ICO website: ico.org.uk/make-a-complaint. Telephone: 0303 123 1113.

Cookies

These pages use cookies that are needed to run the website and the forms, including keeping a form session secure. We do not use advertising or analytics cookies on these pages. You can block cookies in your browser. If you do, a form may not work.

Privacy contact

Send a message about this notice, a request you have already made, or your information rights. This does not create a membership request.
